  • Time Consumption: Manual filtering and qualification of leads on Apollo or ZoomInfo that require hours of effort, diverting sales resources from closing deals. 

  • Inaccuracy: Human error and limited criteria filtering can lead to overlooking viable prospects or including unsuitable ones. 

  • Scalability Issues: Scaling up prospecting efforts often means linear increases in time and labor costs, making it inefficient as business grows.

Generative AI transforms prospecting by automating the lead qualification process. GenAI can process vast amounts of data to identify patterns and characteristics that match predefined ideal customer profiles (ICPs). This technology operates on an input-prompt-output framework, like this:

  • Prompts: Instructions that guide the AI to filter leads based on specific criteria detailed by the sales team.

  • Outputs: A curated list of prospects that meet the designated criteria, ready for further engagement.

How to Implement Generative AI for Prospecting

Consider a scenario where a seller uses generative AI to filter through a CSV of 1,000 leads. The AI is set up to identify prospects fitting the ICP of decision-makers in the technology sector, interested in cloud solutions. By using AI, the company reduces the time spent on lead filtering by 75% and increases the conversion rate due to the higher quality of leads.

Here’s a step-by-step guide on how to accomplish that, including example prompts.

Preparing Inputs

Ensure your data is structured and clean. Export your prospect lists into a CSV file and include relevant data points that are crucial for filtering, such as industry, company size, and job titles.

Crafting the Prompt

Crafting an effective prompt is pivotal for leveraging AI in prospecting. To do this, you first define the role that the AI system will assume. In this context, consider the AI as a sales development representative whose primary task is to sift through leads and identify those that match your Ideal Customer Profile (ICP).

For example, if your target demographic includes product managers at SaaS companies, you would configure the AI to filter based on relevant criteria such as job titles, company names, and industries. Here’s a breakdown of how to structure your prompt:

  • Role Definition: Assign a role to the AI, e.g., “You are an AI sales development rep.”

  • ICP Definition: Clearly describe your ICP in the prompt. You might specify, “Identify leads where the job title is ‘Product Manager’ at companies within the SaaS industry.”

  • Expected Output: Instruct the AI to deliver a simple “yes” or “no” response indicating whether the lead matches the ICP.

Here is the prompt as copy-paste example:

Crawl-Walk-Run: Utilizing Google Sheets for Automation

Generative AI is matter of crawl-walk-run. If you copy-paste the example prompt and manually update the placeholders in a ChatGPT input box, you're barely crawling. The next step, which integrates Google Sheets into your workflow, is critical to get speed gains.

Prepare prompts for each prospect by using a custom formula within Google Sheets. This setup allows you to automate the running of these prompts through the ChatGPT model directly from your spreadsheet, enhancing efficiency.

You will need a Google Sheets plugins that facilitate running ChatGPT calls for each row. Alternatively, platforms like Clay are specifically designed to manage such tasks efficiently. By setting up Clay to handle the execution of these AI prompts, you can make the process almost fully automated, significantly reducing the manual workload and accelerating the lead qualification process.

Here is a sample Google Sheets I've prepared for you. Just paste in the relevant data in the columns and modify the prompt preparation formula in Column L. If you've installed the GPT plugin, you can run the LLM on each row by referencing the cells in Col. L in Col. M. Presto! Now you can sort the sheet according to relevant leads.

This approach not only saves valuable time but also ensures that your lead generation efforts are both precise and scalable, allowing your sales team to focus more on engaging with qualified prospects and less on the preliminary filtering tasks.

This step ensures that the AI is accurately interpreting the prompts and the data quality is sufficient. The easiest way to do this is to manually grade a few leads yourself, then compare your grade against what the Gen AI system produced. If the AI's output is similar to your intuition, then you've got a great setup. If not, then tweak the prompt and ensure that the model is getting any implicit data you are considering when evaluating each prospect.

Best Practices and Optimization Tips

Regularly Update AI Models: As this tech is evolving rapidly, keep an eye on which AI model you’re using. Just six months ago, I was using the latest model, GPT-4-Turbo. That doesn’t make sense anymore, because the latest models, GPT-4o and GPT-4o-mini, are faster and cheaper without sacrificing on output quality for this task. 

Fine-Tune Prompts: Refine prompts based on the outputs received. If the results are too broad or too narrow, adjust the specificity of your prompts. Consider adding more ‘few-shot examples’ in the prompt to refine your results.

Quality Over Quantity: Focus on the accuracy of the leads rather than the quantity. A smaller number of high-quality leads is more valuable than a larger number of poor-quality ones. To that end, you can instruct the model to ‘err on the side of caution’ or add thresholding to the output so that you can filter leads below a certain score.
